Assigning rooms and seats ensures that candidates are properly distributed across available exam spaces for a specific slot. Administrators can allocate rooms and configure seat capacity for a slot from the Capacity management view. This article explains how to assign rooms and seats to a slot so candidate bookings can be accommodated correctly.

Before You Begin

Make sure that:
  • Rooms are already created for the center.
  • Seat layouts are configured for each room.
  • The slot you want to configure already exists in the Capacity schedule.

Step-by-Step Guide

1. Open the Capacity tab

Navigate to the Capacity tab in the center configuration. This page displays all exam slots along with details such as date, time, exam type, assigned rooms, and seat availability.

2. Locate the slot that requires room allocation

Scroll through the Capacity table to find the slot where you want to assign rooms and seats.

3. Open the slot allocation view

Click the slot row in the table. This opens the Allocation view, where you can manage room assignments and seat capacity for the selected slot.

4. View the list of available rooms

The allocation panel displays all configured rooms for the center along with their seat capacity and allocation status.

5. Assign rooms to the slot

Select the rooms that will be used for the slot. You can assign one or multiple rooms depending on the expected number of candidates.

6. Configure seat allocation

The system automatically calculates the available seat capacity based on the seat layout configured for the selected rooms. Review the seat count to ensure it meets the required capacity.

7. Review the slot allocation details

Confirm that the selected rooms and seat capacities are appropriate for the expected number of candidates.

8. Save the allocation

Click Save changes to apply the room and seat assignments. Once saved, the updated room allocation and seat capacity will appear in the Capacity table.

  • Assign proctors or invigilators to supervise each room.
  • Monitor slot capacity to track available seats.
  • View candidate bookings from the Candidates tab.

Additional Tips

  • The total slot capacity depends on the combined seat capacity of all assigned rooms.
  • Assign multiple rooms if the expected candidate count exceeds the capacity of a single room.
  • If room allocation changes after candidates are booked, you may need to reassign seats to maintain proper seating arrangements.
  • Ensure that rooms are not over-allocated across overlapping slots.
