In some situations, administrators may need to move a candidate to a different seat or room after the candidate has already been checked in. This may be required due to seating adjustments, room changes, technical issues, or operational requirements at the exam center. In this article, you can understand how the Reassign Seat option allows administrators to safely move a candidate to another available seat while ensuring that the center’s capacity and seat allocation remain accurate.

When Seat Reassignment Is Available

The Reassign Seat option appears in the candidate’s menu within the Candidates tab. This option is available only when:
  • The candidate already has a seat assigned
  • The candidate is in an eligible status, such as:
    • Checked-in
    • Seated
Seat reassignment is not available when the candidate’s exam session has already ended or reached a restricted state. Reassignment is blocked if the candidate status is:
  • Completed
  • Checked Out
  • Stopped
  • Suspended

How to Reassign a Candidate’s Room or Seat

Follow these steps to reassign a candidate’s seat:
  1. Navigate to the Centers section and open the required center.
  2. Click the Candidates tab.
  3. Locate the candidate in the candidates list.
  4. Click the menu next to the candidate.
  5. Select Reassign Seat.
The system will open the Check-in Details view for that candidate.

Information Displayed in the Reassign View

In the reassignment screen, administrators can view:
  • Current Room
  • Current Seat Number
  • Exam Slot Details
This view helps administrators clearly see the candidate’s current allocation before making any changes.

Selecting a New Seat

Only available seats can be selected for reassignment. The following seats cannot be selected:
  • Seats that are already occupied
  • Seats that are blocked
  • Seats that are inactive
This ensures that the reassignment does not create seat conflicts or capacity issues.

Reassigning Within the Same Room

If the administrator selects a different available seat in the same room and confirms the action:
  • The previous seat is released
  • The new seat is assigned
  • The room capacity updates automatically
  • The candidate’s record reflects the new seat number
  • A success confirmation message appears

Reassigning to a Different Room

Administrators can also move the candidate to a seat in another room within the same exam slot. When reassignment is confirmed:
  • The previous seat is released
  • The candidate is assigned to the new seat in the selected room
  • Room capacity updates automatically
  • The candidate’s record updates with the new room and seat
  • A success confirmation message is displayed

What Happens if No Seats Are Available

If the selected room does not have any available seats, the system:
  • Blocks the reassignment
  • Displays a message indicating no seats are available
The candidate’s original seat assignment remains unchanged.

Reassignment During an In-Progress Exam

If a candidate’s status is In Progress, seat reassignment may be restricted depending on system rules. In this case, the system will either:
  • Block the reassignment, or
  • Require the administrator to confirm the action before proceeding
This prevents accidental disruption of an ongoing exam.
