Recruiters can use the Open Registration option in Workflow Tools to make a workflow publicly available for candidate registrations. This feature allows recruiters to collect candidate details directly through a registration form linked to the workflow’s screening step. By setting a registration duration and sharing the generated link or QR code, recruiters can seamlessly manage candidate inflow without manual entry.

Steps to Go Through the Flow

  1. Log in to Workflow Tools Use your recruiter credentials to log in and access your organization’s workflows.
  2. Select the Workflow to Publish From your Workflow view, click on the workflow you want to publish for candidate registration. This opens the workflow overview page.
  3. Click on “Open Registration” Scroll to the footer section of the workflow view and click “Open Registration.” A side panel will appear on the right-hand side of the screen.
  4. Choose Registration Duration In the side panel, you’ll see options to define the period during which candidates can register. Available duration options include:
    • Always Open - The registration link remains active indefinitely.
    • 1 Week
    • 2 Weeks
    • 4 Days
    • 1 Month
    • (Upcoming) Custom Date Range - Specify your own start and end dates for registrations.
    Select the duration that best fits your hiring timeline.
  5. Preview the Registration Form The registration form used for the workflow is pre-configured in the Screening Step. Click on the eye icon beside the form name to preview how it appears to candidates. Review the form to ensure all required fields are correctly configured.
  6. Publish the Workflow Once ready, click on “Open Registration.” If you change your mind, click Cancel to close the panel without publishing.
  7. Get the Registration Link and QR Code Upon successful publication, a confirmation modal will appear containing:
    • A unique registration link
    • A QR code that can be downloaded as a PNG
    You can now share this link or QR code with candidates via email, social media, or campus posters to allow them to register directly.

Pre-requisites

Before opening a workflow for registration, ensure that:
  • You are logged in as a Recruiter or Master Recruiter with permission to publish workflows.
  • The workflow is in an active state (not archived or draft).
  • The Screening Step of the workflow has a registration form configured.
  • You have reviewed the registration period options and selected the correct duration.
