Workflows on the Workflow Tools platform can be opened for candidate self-registration using a public registration link or QR code. Recruiters control the availability of this registration using three key actions:
  • Publish (Open Registration) – Makes the workflow available for candidate self-registration
  • Edit Registration (Unpublish / Update details) – Allows updating registration details and accessing the link or QR code
  • Close Registration – Stops candidates from registering via the public link or QR code
Even after registration is closed, recruiters can still invite candidates directly from the workflow.

Step-by-step Guide

Step 1: Open (Publish) a Workflow for Registration

  • Navigate to the Workflows section from the main menu.
  • Open the workflow you want candidates to register for.
  • In the workflow view, locate the footer section.
  • Click Open Registration.
What happens
  • The workflow is published for candidate registration.
  • Platform generates a registration link and QR code.
  • Candidates can now self-register using the shared link or QR code.

Step 2: Edit Registration Details and Access Link/QR Code

  • Once registration is open, click Edit Registration.
  • The registration side panel opens, where you can:
    • Update registration-related details
    • View and copy the registration link
    • View and download the QR code
When to use this
  • To share the registration link or QR code with candidates
  • To update registration details without closing registration

Step 3: Close Registration

  • In the registration side panel, click Close Registration.
  • Confirm the action.
What happens
  • The workflow is closed for public candidate registration.
  • The registration link and QR code no longer accept new registrations.
  • Candidates cannot self-register using the link or QR code.

Important Behavior After Closing Registration

  • Recruiters can still invite candidates directly from the workflow view.
  • Closing registration only impacts self-registration via link or QR code.
