Overview
When you create a planning slot (a scheduled exam session window), Center Sync automatically creates a matching slot in every connected partner organization. This allows the partner to see your center’s capacity calendar, understand room availability, and plan candidate bookings accordingly. Partner organizations see your schedules in their Capacity tab, labeled with the originating source information.
What schedule data is synced
| Element | Synced to partner organization |
|---|---|
| Schedule name | Displayed in the partner’s capacity view |
| Workflow step | Which exam step the slot applies to (e.g. LRW, Speaking) |
| Slot date and time | Start and end times for each occurrence |
| Exam type | CBT or PBT |
| Rooms assigned | Which rooms are allocated to the slot |
| Total capacity | Aggregate seat count across assigned rooms |
| Recurring schedule rule | Frequency and end date for recurring slots |
| Schedule overrides | One-off changes to a recurring schedule |
Creating a planning slot
Fill in slot details
Configure the slot:
- Schedule name — a descriptive name (for example, “LRW Schedule - 2026-05-23”)
- Workflow step — select the relevant exam step
- Start date and start time — when the slot begins
- End time — when the slot ends
- Recurring days of the week — select which days this slot repeats
- Until date — when the recurrence ends
How synced slots appear in the partner organization
In the partner organization’s Capacity tab, synced slots are displayed identically to locally created slots. The schedule name you assigned (for example, “OET Sydney Test Centre - LRW Schedule - 2026-05-23”) is visible as the slot group header, making it easy for the partner team to identify which slots originated from your center. Each synced slot shows:- Date and time range
- Exam type
- Workflow step
- Number of rooms
- Total capacity (seats)
- Bookings (lobby count and checked-in count — partner-side data, not synced from your organization)
The Bookings column in the partner organization’s capacity view reflects their own candidate registrations. Your organization’s booking data is never synced to the partner. See What is Not Synced.
Recurring schedules
Recurring planning slots work the same way as single slots. The recurrence rule is synced, meaning the partner organization sees all future occurrences — not just the first one. If you modify the recurring rule (for example, changing the end date or adding a day of the week), the change is synced and the partner organization’s schedule is updated accordingly.Schedule overrides
A schedule override lets you adjust a single occurrence within a recurring schedule (for example, moving a slot to a different time on a specific date, or blocking a specific date). Overrides are synced to the partner organization as part of the schedule configuration.Frequently asked questions
If I create a slot with 22 total seats, does the partner see 22 seats too?
If I create a slot with 22 total seats, does the partner see 22 seats too?
Yes. The total capacity (based on the rooms assigned to the slot) is synced. The partner sees the same seat count and room allocation.
Can the partner organization create their own planning slots for the synced center?
Can the partner organization create their own planning slots for the synced center?
No. Planning slots for synced centers are managed exclusively by your organization. The partner organization’s view is read-only for configuration purposes. They can view capacity and manage their own candidate bookings within those slots.
What happens to partner organization bookings if I change a slot's time?
What happens to partner organization bookings if I change a slot's time?
The slot time change is synced as a configuration update. Existing candidate bookings in the partner organization are not automatically moved or cancelled. Coordinate with the partner organization before changing slot times when candidates are already registered.
Do I need to create separate slots for each partner organization?
Do I need to create separate slots for each partner organization?

How many slots can I create?
How many slots can I create?
