Overview

The No-Show Notifications enhancement introduces a set of automated, intelligent notifications designed to reduce interview no-shows and improve on-time participation across interviews. These notifications are part of the Intelligent Scheduling module and are controlled through dedicated Growthbook flags for phased enablement. This feature includes email and SMS reminders, real-time join notifications, escalation alerts, and post-interview summaries for both candidates and interviewers.

Why This Matters

Interview no-shows significantly impact:
  • Time-to-Hire: Delays in closing open positions.
  • Candidate Experience: Missed interviews lead to poor engagement and negative perception.
The enhanced notification system addresses these challenges by delivering contextual, timely communication that improves attendance and interview reliability.

Notification Details

1. Scheduled Interview Reminders
  • Triggered based on the time difference between the scheduling time and the interview start time:
    • If the difference is ≥ 30 hours, two reminders are sent:
      • 24 hours before the interview
      • 1 hour before the interview
    • If the difference is < 30 hours, one reminder is sent 1 hour before the interview
    Sent to both candidates and interviewers for online and in-person interviews.
2. Join Notifications
  • When one participant joins the interview, an email notification is sent to the other participant.
    • Example*: If the candidate joins first, the interviewer receives a notification, and vice versa.*
    Applicable only for online interviews.
3. Escalation Notifications
  • If one participant has joined and the other has not joined for more than 5 minutes, an escalation email is sent to the organizer.
  • Enables recruiters to take prompt action to recover delayed or missed sessions. Applicable only for online interviews.
4. Summary Emails
  • Sent after the interview concludes.
    • Interviewers receive attendance and evaluation summaries.
    • Recruiters receive consolidated attendance and evaluation data for tracking and reporting.

Notification Details

1. Scheduled Interview Reminders
  • Follows the same timing logic as email reminders:
    • If the difference between scheduling and interview start time is ≥ 30 hours, two reminders are sent (24 hours and 1 hour before).
    • If the difference is < 30 hours, a single reminder is sent 1 hour before the interview.
    Applicable for both online and in-person interviews.
2. Join Notifications
  • When one participant joins, the other participant receives an SMS notification. Applicable only for online interviews.
3. Prerequisites
  • Candidate and interviewer must have:
    • A valid country code, and
    • A registered phone number in the system.
