1. Scheduling & Confirmation

Q1. How do I schedule an interview with a candidate? From the workflow dashboard, select “Schedule” and follow the interview setup steps - choose the candidate, interviewer(s), and preferred time slots. Once confirmed, invitations are automatically sent to all parties. Q2. How do I invite a new candidate or an existing candidate?
  • For new candidates, use the download and upload template route during scheduling to create a new record and proceed.
  • For existing candidates, choose the candidate from the list inside a workflow and click on “Schedule” to get started.
Q3. Can candidates self-schedule their interviews? Yes. If you schedule without choosing a specific slot, candidates receive a self-scheduling link via email. They can pick a time from available interviewer slots. Q4. What should I do if a candidate doesn’t receive the self-scheduling link? Check if the candidate’s email address is correct and ensure the invite wasn’t filtered into spam. You can resend the link from the notification inbox module by choosing “Forward” option. Q5. How do I know if my candidate has confirmed the interview? Check the RSVP status on the interview details page. Once confirmed, the status changes to Accepted. Pending, declined, and Tentative responses are also logged along with any proposed time changes. Q6. What do the different candidate and interviewer RSVP statuses mean?
  • Invited: Participant is yet to RSVP to the interview.
  • Accepted (Yes): Participant has confirmed the interview.
  • Declined (No): Participant has rejected the invite.
  • Tentative: Participant is unsure or has proposed a new time.
Q7. Does Intelligent Scheduling check interviewer calendar availability automatically? Yes. Use “Check Availability” before scheduling to view the interviewer’s calendar and avoid conflicts. Q8. Where can I view all upcoming interviews for my requisition? All upcoming interviews are visible in the Interview step inside each workflow. Filters allow searches by candidate, interviewer, date, or status.

2. Rescheduling & Cancellations

Q9. How can I reschedule an interview? Open the interview, select Reschedule, and choose a new slot. Updated invites are automatically sent to participants. Q10. Can I cancel or reschedule interviews in bulk? Yes. From the interview dashboard, select multiple interviews and choose Cancel or Reschedule. Notifications are sent to all affected participants. Q11. What happens if the interviewer or candidate declines? If the candidate declines, the interview is canceled. If the interviewer declines, recruiters can reassign a new slot or select another interviewer. Q12. What happens if the interviewer doesn’t join? If the interviewer fails to join within 5 minutes of the start time, the system flags it as a potential no-show and alerts the recruiter. Q13. Candidate marked as “No Response” despite confirming - what does that mean? This can happen due to a calendar sync delay or if the candidate confirmed via a link that expired. Q14. Interviewer RSVP not updating on the dashboard - what should I do? If an interviewer responds but the dashboard doesn’t reflect it, ensure their calendar integration is active and synced. A manual refresh of the page may also update the status.

3. Reminders & Notifications

Q15. How many reminders are sent before an interview? By default, two reminders are sent: one 30 hours before and another 1 hour before the scheduled time. Q16. Can I customize reminder timings? No. Reminder intervals are system-defined for consistency. Q17. Do recruiters need to send reminders manually? No. Reminders are automatically sent to both candidates and interviewers. Q18. Reminder not sent or received - what should I check?
  • Verify that the interview status is Scheduled (reminders don’t trigger for “Canceled” or “Draft”).
  • Ensure reminder emails haven’t been filtered into spam.
  • Ensure reminder emails is configured for the org.
Q19. Candidate joined but interviewer didn’t receive a join notification - why? This can occur if the notification is enabled for the org.

4. Live Interviews, Recordings & Evaluations

Q20. Can recruiters track live interview status from the dashboard? Yes. The Recruiter Dashboard shows live interview status indicators:
  • In Progress: One of the participants have joined.
  • Scheduled: None of the participant has joined.
  • Completed: Interview has ended.
Q21. How do I view interview recordings? After completion, recordings are accessible from the Interview Details page under Recording. Only users with permission (Recruiter, Hiring Manager) can access them. Q27. Recording not available after the session - why? Recordings can take up to 30 minutes to process. If still unavailable after that, check if recording was enabled for the interview by the candidate or interviewer. Q28. How can I access candidate evaluations after the interview Go to the Candidate Profile → Evaluations Tab to view submitted evaluator feedback and scores. Q29. Evaluations not showing under the candidate profile - what should I check? Ensure evaluators have submitted their evaluations and that the interview session was properly closed. Refresh the page if missing. Q30. Can I add recruiter notes to interview records? Yes. From the Interview Details page, use the “Add Evaluation” option to log recruiter observations. Notes are visible to internal users within the workflow.

5. Reports & Tracking

Q31. How do I track confirmations, reschedules, and no-shows? Use the Interview Dashboard, which displays:
  • RSVP Status (Accepted / Declined / Tentative / No Response)
  • Reschedule Count
  • Attendance Logs (Attended / No-Show)
  • Live Status (Scheduled / Ongoing / Completed)
