As a coordinator, setting up an exam is the first step before you can invite candidates or manage schedules. The Coordinator Console lets you create a new exam by selecting from a set of pre-configured workflow templates for your tenant, so you don’t have to configure the exam structure from scratch. In this article, you will learn how to create an exam using a template in the Coordinator Console. Before You Begin Make sure you have:
  • Coordinator role access on your Talview account.
  • The exam name and exam code ready.
  • The assessment catalog and flow template you want to use for each step.

Step-by-Step Guide

1. Go to the Exams list and click Add Exam From the Coordinator Console, navigate to the Exams section using the left sidebar. The Exams list shows all existing exams with their name, exam code, status, configuration template, and creation date. In the top-right corner, click + Add Exam. 2. Select a workflow template A Select Workflow panel opens on the right. It displays the pre-configured workflow templates available for your tenant. Each template shows its name, a brief description, and the number of steps it contains. The available templates are:
  • Only Assessment Step (Invite based window) - 1 step. For exams with a single assessment step and no enrollment process. The candidate’s deadline is set individually at the time of invitation.
  • Only Assessment Step (defined exam window) - 1 step. For exams with a single assessment step and no enrollment process. All candidates share a fixed deadline configured upfront at the exam level.
  • Enrollment and Assessment Step (Invite based window) - 2 steps. For exams that include an enrollment step followed by an assessment step. The candidate’s deadline is set individually at the time of invitation.
  • Enrollment and Assessment Step (defined exam window) - 2 steps. For exams that include an enrollment step followed by an assessment step. All candidates share a fixed deadline configured upfront at the exam level.
Click the template that matches your exam structure and validity window configuration to select it. The selected template is highlighted in blue. Once you’ve selected a template, click Next. 3. Enter the exam name and exam code The panel updates to the Add Exam form. At the top, you’ll see a tag showing the workflow you selected. Fill in the following fields:
  • Exam Name - the name of the exam as it will appear to candidates.
  • Exam Code - a unique code to identify this exam.
4. Configure the assessment step Below the exam details, you’ll see a section for each assessment step defined in the template. Each step has two fields to configure:
  • Assessment Catalog - click the dropdown and select the catalog you want to load questions from for this step.
  • Flow - click the dropdown and select the flow template that defines the candidate experience for this step.
For multi-step exams, repeat this configuration for each step. 5. Click Add Once all fields are filled in, click Add to create the exam. The panel closes and the new exam appears at the top of the Exams list with an Active status.
Additional Tips
  • The exam code must be unique across your tenant. If the code is already in use, the system will show an inline error and prevent you from proceeding.
  • The workflow template determines how many steps your exam has. Once the exam is created, the template structure cannot be changed, if you need a different structure, create a new exam with the correct template.
  • The Assessment Catalog and Flow dropdowns only show items that have been configured for your tenant. If the catalog or flow you need isn’t listed, contact your customer support manager.
