There are times when a candidate needs another opportunity to take an assessment — whether their previous invitation expired, they didn’t show up, or they need a fresh attempt after completing or being suspended. Talview’s Coordinator Console lets you re-invite any candidate regardless of their current enrollment status, without modifying or losing any data from their previous attempts. In this article, you will learn how to send a fresh invitation to a candidate who already has an existing enrollment. Before You Begin Make sure you have:
  • Coordinator role access on your Talview account.
  • An active exam with at least one candidate already invited or enrolled at a workflow step.

Step-by-Step Guide

1. Open the exam and navigate to the assessment step From the Exams list, click on the exam containing the candidate you want to re-invite. Navigate to the workflow step tab (e.g., Listening, Reading & Writing) where the candidate’s existing enrollment is listed. 2. Click Invite Click the Invite button on the top-right of the candidate list — the same button you use for sending original invitations. 3. Enter the candidate’s details In the invite side panel, add the candidate’s details as you would for a new invitation. Enter their Email Address (required) along with any other details like name or phone number. If the candidate is currently in an Invited status (meaning they already have an active, unused invitation), the system may show a non-blocking informational notice letting you know an active invitation already exists. You can proceed regardless — this notice is informational only and does not prevent the re-invite. 4. Optionally set a new deadline If the exam has a Last Date to Attend field, you can set a new deadline for this re-invite. This deadline applies only to the new enrollment and does not affect the deadline on any previous enrollment. 5. Click Invite to send the fresh invitation Click Invite to complete the re-invitation. The candidate receives a fresh invitation email with a new access link tied to the new enrollment.

What happens behind the scenes

  • The system creates a new, independent enrollment for the candidate. The existing enrollment and all its data — status, timestamps, scores, attempt data, and proctoring records — remain completely untouched.
  • The new enrollment starts in the Invited status and appears as a separate row in the step-level candidate list, alongside the existing one.
  • Any action the candidate takes on the new enrollment (starting the assessment, completing it, etc.) does not affect their previous enrollments in any way.

How do multiple enrollments appear in the candidate list

When a candidate has been re-invited one or more times, each enrollment shows up as its own row in the candidate list. Rows are distinguishable by their creation date and time, or by a sequence indicator (e.g., “Invite 1”, “Invite 2”), so you can easily tell them apart. You can view the status of each enrollment independently, and all standard filters and sorting apply across all rows, including re-invites.
Additional Tips
  • Re-inviting does not reset, cancel, or modify the candidate’s existing enrollment. Think of it as creating a completely fresh start for the candidate while preserving the full history of their previous attempts.
  • If you need to track how many times a candidate has been invited, look at the multiple enrollment rows in the candidate list, each one represents a separate invitation.
  • The re-invite flow uses the same Invite button and side panel as the original invite. There is no separate “re-invite” action the system automatically handles the creation of a new enrollment when it detects the candidate already exists at that step.
  • You can set a different deadline for each re-invite, giving you flexibility to adjust the access window based on the situation.
