When inviting candidates to an exam, you may need to give specific candidates a different access window than what the exam is configured with by default. Coordinator console lets you set an optional invitation deadline, referred to as Valid Till that overrides the default exam window for that particular invite. In this article, you will learn how to set, extend, or shorten the access window for individual candidates at the time of inviting them. Before You Begin Make sure you have:
  • Coordinator role access on your Talview account.
  • An active exam to invite candidates to.

Step-by-Step Guide

1. Open the Invite panel From inside an exam, navigate to the assessment step where you want to invite candidates. Click the Invite button on the top-right to open the invite side panel. 2. Locate the Valid Till field In the invite panel, you’ll see a Last Date to Attend field with a date-time picker. This field is optional, you don’t need to fill it in to send an invitation. 3. Set a deadline Click the calendar icon next to the Last Date to Attend field. A date picker opens alongside a time selector.
  • Select a date from the calendar. Only future dates are selectable - past dates are disabled.
  • Select a time from the list on the right side of the picker.
  • Click Apply to confirm your selection.
The selected date and time will appear in the field (e.g., 08/05/2026 1:00 AM). 4. Add candidates and send the invitation After setting the deadline, add your candidates (manually or via bulk upload) and click Invite. The deadline you set applies to all candidates in this batch.

What happens after the deadline is set

  • The candidate can access the exam only until the deadline you specified. Once the deadline passes, the candidate sees a message indicating their invitation has expired and can no longer start or continue the exam.
  • The deadline you set is invite-based — the candidate must complete the entire exam process within the specified deadline. Once the deadline passes, the candidate will no longer be able to access or continue the exam..
  • The deadline is visible in the coordinator’s candidate list, so you can always check what window a candidate is working within.

What happens when no deadline is set

  • If you leave the Last Date to Attend field empty and send the invitation, the candidate’s access window falls back to the default exam window configured at the exam level.
Additional Tips
  • You can use the deadline to extend the exam window, for example, giving a candidate extra time due to special circumstances or to shorten it for time-sensitive batches.
  • When re-inviting a candidate, you can set a new deadline for the new enrollment. The deadline on any previous enrollment is not affected.
  • The timezone displayed in the invite panel reflects your logged-in system timezone. Make sure this is correct before setting a deadline, especially when inviting candidates across regions.
  • If you need to change a candidate’s deadline after the invitation has been sent, you’ll need to re-invite them with a new deadline.
