Introduction

The Drive Management Module in Workflow Tools enables recruiters to manage high-volume or on-site interview events efficiently, often referred to as drives. Recruiters can coordinate candidates, interviewers, and rooms in real time, ensuring a smooth experience. This FAQ covers how to plan, schedule, monitor, and optimize drives using the platform.

1. Drive Planning & Scheduling

Q1. How far in advance should I create and schedule a drive? It’s recommended to create a drive 3–5 days in advance, depending on the interviewer and candidate availability. This allows enough time for:
  • Interviewer confirmations
  • Candidate slot assignment and notifications
  • Room allocation and conflict resolution
However, the system also supports instant drives, which can be created and launched on the same day if resources are available. Q2. How do I add or remove candidates from an active drive? You can manage candidates directly from the Drive Details page:
  • To add candidates, share the registration link with them to register.
  • To remove candidates, click on Cancel beside the slots. Changes automatically update the drive schedule.
Q3. Can candidates reschedule their own interview slots within a drive? Yes, candidates can modify their slot from the slot confirmation email. Recruiters are notified instantly of any changes, and available time slots are updated dynamically within the drive dashboard. If this setting is not enabled, recruiters can manually reschedule on behalf of the candidate. Q4. Can I pause or extend a drive if we need more interview time?
  • Pausing a drive is not possible.
  • To extend a drive, click Edit Drive timing and adjust the end time. All linked sessions and notifications will automatically adjust to the updated schedule.

2. Interviewer Management

Q1. How do I reassign interviewers if someone drops out last minute? You can open the specific drive schedule, select the candidate’s interview slot, and use the Reassign Interviewer option. The system will suggest alternate available interviewers, and notifications will automatically be sent to both the candidate and the new interviewer. Q2. Can I bulk-add interviewers to multiple drives? Yes. Recruiters can add interviewers in bulk by selecting multiple drives and uploading a list of interviewer details. The system then assigns them based on availability and role requirements.

3. Room & Resource Availability

Q1. Can I track room availability across drives? Yes. The drive management dashboard provides a Room Availability View, allowing recruiters to see which rooms are free, booked, or overbooked across all drives. Q2. What happens if a room is double-booked across drives? The system automatically flags double bookings. Recruiters can either reassign the session to another available room or adjust interview timings to resolve the conflict.

4. Drive Insights & Consolidated Reporting

Q1. Where can I view consolidated insights across multiple drives? Recruiters can access the Drive Insights Dashboard, which consolidates metrics like:
  • Number of candidates scheduled vs. completed interviews
  • Interviewer utilization and dropouts
  • Room usage and conflicts
  • No-shows and completion rates
Q2. Can I export the drive schedule to share with managers? Yes. Drive schedules can be exported in Excel/CSV/PDF formats. These exports include candidate schedules, interviewer allocations, room assignments, and status updates, making it easy to share with hiring managers.

5. Candidate & Interview Flow Tracking

Q1. Can I track which candidates have checked in or completed their interviews during a drive? Yes. The drive dashboard provides real-time candidate tracking — showing who has checked in, who is waiting, who is in-progress, and who has completed interviews. Q2. What happens if a candidate misses their scheduled slot? The system marks it as a candidate no-show. Recruiters can reschedule the candidate within the same drive or reassign them to another available interviewer.

6. Notifications & Alerts

Q1. Do recruiters get alerts for last-minute interviewer or room changes? Yes. The system notifies recruiters in real-time if an interviewer drops out, a room conflict arises, or a candidate has not shown up. Q2. Can notifications be sent to hiring managers for daily drive summaries? Yes. Managers can receive automated daily summary notifications with updates on progress, interviewer participation, and candidate completion rates.
