During a virtual hiring event or a drive, recruiters and interviewers rely on room assignments to manage interviews across multiple interviews and sessions simultaneously. When rooms are not visible to the intended users or are assigned incorrectly, it disrupts the entire interview workflow, causes candidate delays, and creates confusion for interviewers. This diagnostic article identifies common causes of room visibility and assignment issues in Drive management system and provides actionable solutions to resolve them quickly.

🔎 Troubleshooting Common Issues

IssueHow to Fix It
Room not assigned to the interviewer profileVerify that the interviewer has been explicitly assigned to the specific room in the Drive settings.
Navigate to the Drive configuration, select the room, and confirm the interviewer in the assigned interviewer list.
Add and confirm the interviewer and save changes.
Room creation incomplete or not publishedIf the room is incomplete, finalize all required fields and publish the room to make it active and visible to assigned interviewers and recruiters.
User permissions insufficient for room accessReview the user’s role and permissions within the Drive. Ensure the user has appropriate access levels (interviewer, organizer, or admin) that grant visibility to assigned rooms.
Browser cache or session issuesClear the browser cache and cookies, then refresh the page. Instruct users to log out completely and log back in to refresh their session.
This resolves visibility issues caused by outdated cached data or stale authentication tokens.
Technical platform synchronization delayWait 2-3 minutes after making room assignment changes, as platform synchronization may take time to propagate across the system.
If delays persist beyond 5 minutes, contact Talview support to investigate backend synchronization issues.

Additional Tips:

  • Provide interviewers with clear instructions on how to access their assigned rooms.
  • Maintain a backup communication channel (such as a messaging platform or email thread) where interviewers can quickly report room visibility issues during live events, ensuring rapid response and minimal disruption to the candidate experience.
