When you take an assessment through Talview, protecting your personal data and privacy is a top priority. You entrust us with sensitive information such as your identity details, biometric data, video and audio recordings, and your responses during the assessment. This article explains how we securely handle and protect your data throughout the assessment process, ensuring compliance with strict global data privacy standards and using advanced security technologies. Understanding how your data is protected can help you feel confident and secure as you complete your assessment with us.

Data Collected During Your Assessment

Your data is safeguarded through end-to-end encryption, strict access controls, and compliance with global privacy laws like GDPR, CCPA, and others. We collect specific information to ensure assessment integrity, including your name, email, phone, face capture, voice samples, surroundings and behavioral data. Device details like IP address, browser type, and location may also be gathered automatically via cookies for analytics, but non-personal aggregate data is used only to improve services. No unique identifiers like UDID or MAC addresses are captured, and you consent to collection each time you access the platform via clear notices in the Privacy Policy and Teams.

Security Measures and Access Controls

Access to your data follows role-based permissions with periodic reviews, audits, and automatic revocation upon role changes or employee termination. A Data Security Committee oversees policies, while external vendors conduct vulnerability and penetration testing every six months. Physical and hardware security includes safeguards against loss or unauthorized use, with Data Protection Impact Assessments (DPIA) for high-risk processing.

Compliance and Regional Data Handling

Talview complies with GDPR (EU data hosted in EU servers), CCPA, LGPD, PDPA, PIPEDA, COPPA for minors, and pursues ISO 27001/SOC2 audits. Biometric and behavioral data is retained only as needed (default 6 months per SLA) then securely deleted by overwriting. For EU/EEA users, processing includes consent-based decisions with human oversight on AI flags

Understanding AI and Automated Processes

We use advanced AI technologies for proctoring, identity verification through face-photo ID matching and biometric authentication, and behavioral analysis to maintain assessment integrity. These AI systems process your facial recognition, voice patterns, and behavioral biometrics like keystrokes and movements to detect potential fraud while prioritizing your privacy with minimal data retention and end-to-end encryption. All AI-driven flags and decisions receive human oversight by trained proctors, with ongoing bias detection, fairness metrics, third-party audits, and accommodations to ensure equitable and transparent evaluations.

How We Protect Your Video and Audio Data

During your assessment, we encrypt all video and audio streams using end-to-end protocols to securely transmit them and prevent any interception during live or recorded proctoring sessions. We store these recordings only for the duration specified by the recruiting organization typically per service level agreements before automatically deleting them securely to minimize data retention. Access remains strictly limited to authorized proctors or reviewers involved in integrity checks, with role-based controls ensuring no unnecessary exposure.

Protecting Your Data on Different Devices and Networks

Whether using a personal device, public computer, or any supported browser for your assessment, we secure all data transmissions with high-grade SSL/TLS protocols and end-to-end encryption to protect against interception. Our platform stores no personal data locally on your device beyond the active session, clearing temporary files upon completion to avoid persistence. Built-in mechanisms prevent unauthorized caching, browser data leakage, or local storage of sensitive information like biometrics or recordings.

Data After Your Assessment

After you complete your assessment, we retain your personal data only for as long as it is needed for evaluation, compliance, and audit purposes, or as required by law and our agreement with the recruiting organization. Once this period ends, your data is securely deleted or anonymized so it can no longer be linked back to you. If you are in a region covered by GDPR or similar regulations, you may have the right to request deletion of your personal data (the “right to be forgotten”). To exercise this, you can raise a request with the recruiting organization, who will work with us to review and process the deletion in line with applicable legal and contractual requirements.

Our Commitment to Your Privacy and Security

We understand that trust is essential when sharing your personal data during assessments. That is why we are dedicated to maintaining the highest standards of data protection, transparency, and ethical AI use. Our security protocols and compliance measures evolve continuously to address emerging risks and regulatory changes. If you ever have questions or concerns about how your data is managed or wish to exercise your privacy rights, you can contact your recruiting organization. Your privacy and security are our utmost priority throughout your entire assessment experience.
