When a candidate’s resume is missing or not visible in Talview Workflow Tools, it delays screening and interview processes.
This article lists common causes and fixes to help recruiters, hiring managers, and admins to get access to the candidate’s missing resume.
🔎 Troubleshooting Common Issues
Scenario 1: Candidate Applies Using the Resume
| What might be wrong | How to fix it |
|---|
| Candidate submitted unsupported file type (e.g., image, RTF, password-protected) | Instruct candidate to resubmit inPDF (text-based) |
| File size exceeds platform limits | Request candidate to compress or reformat resume under allowed size_(_ typically 2–5MB, although keeping resume files under 1MB is considered best practice to avoid upload issues.) |
| Resume upload incomplete, or error missed by candidate | Guide candidate to monitor for confirmation message after upload |
| Candidate skipped resume upload step | Prompt candidate to complete missing step via email |
| Resume corrupted during upload | Ask for a fresh upload, ensuring file integrity |
Scenario 2: Resume File Comes in via ATS
| What might be wrong | How to fix it |
|---|
| ATS integration with Workflow Tools is broken or misconfigured | Recruiters need to reach out to the admin. |
| Unsupported resume file imported | Recruiters need to reach out to the Admin / Support |
| Old versions or duplicates of resume linked to the candidate | Remove redundant docs and retain latest resume copy |
Scenario 3: Recruiter Uploads the Resume
| What might be wrong | How to fix it |
|---|
| Recruiter uploads unsupported file or by mistake chooses wrong candidate profile | Confirm correct file format and verify assigning to correct candidate |
| Duplicate resumes uploaded for same candidate | Delete older or redundant versions, keep only the latest |
| Resume upload not completed (incomplete process, no confirmation message) | Double-check for completion confirmation and re-upload if necessary |
Additional Tips:
- Use supported formats like PDF to ensure compatibility.
- Upload resumes over a stable internet connection to prevent transfer interruptions.
- Keep file sizes within platform limits (usually under 3 MB) by compressing if needed.
- Always wait for confirmation of a successful upload and preview the resume if possible.
