Introduction

The Coordinator Console provides a centralized, workflow-scoped view of all exams assigned to a coordinator. From this dashboard, coordinators can monitor candidate sessions, track exam statuses, review incidents, and access session playback and summary reports. This FAQ section addresses common questions about navigating the console, understanding session statuses, and accessing review artifacts to help coordinators manage exam oversight efficiently.

1. General – Coordinator Console

Q1. What can I do from the Coordinator Console? From this console, coordinators can:
  • View exams they are assigned to
  • Access the candidate list for each exam
  • Track candidate exam and session status
  • Review incidents and integrity outcomes
  • Access session playback and summary reports
Q2. Which exams are visible to me? As of now, all exams will be visible to the coordinator. Changes will be made further on.

2. Exams Table & Candidate List

Q1. What information is shown in the Exams table? The Exams table displays the candidate information, exam status, integrity outcome and incident status. Q2. Where can I see the candidate information? As a Coordinator, you can view candidate information directly from the Coordinator Console → Exams → Candidate List view. Q3. Can I search for a specific candidate? Yes. You can use the search bar to find candidates by name or email ID or you can search in the enrolment table. Q4. Can I filter or sort the candidate list? Yes. Coordinators can use filters to narrow down candidates based on status, date, or other available parameters (as configured for the exam). Q5. Why do I see the same candidate name multiple times? A candidate may appear multiple times if:
  • They attempted the exam on different dates
  • They had multiple sessions (rescheduled or reattempted)
  • They were enrolled in multiple workflows under the same exam
  • They were enrolled in different exams

3. Candidate Status & Meanings

Q1. What does “In Progress” mean? The candidate has started the exam and the session is currently ongoing. Q2. What does “Completed” mean? The candidate has successfully finished the exam and the session has ended normally. Q3. What does “No Show” mean? The candidate did not join the exam within the allowed start window. Q4. What does “Terminated” mean? The candidate’s session was ended before completion. This could be due to:
  • Proctor intervention
  • Rule violations
  • Technical or policy-related reasons
Q5. What does “Suspended” mean? The candidate violated exam rules and the session outcome was marked as suspended after review. Q6. What does “Needs Review” mean? The session requires further review by an examiner or administrator due to flagged incidents or integrity concerns.

4. Integrity Outcomes

Q1. Can coordinators change the integrity outcome? A of now they can’t. Coordinators can view integrity outcomes but cannot modify them unless granted additional administrative permissions. It will be modified later on.

5. Session Playback & Reports

Q1. How do I access session playback? Click the play icon next to the candidate entry to open the session playback. Q2. What does session playback include? Session playback may include:
  • Candidate video recording
  • Screen recording
  • Audio recording
  • Timeline of incidents and events
  • Session summary report
Q3. Can I download the session recording? The coordinator cannot download the session recording. Q4. What is the Summary Report? Summary report is a written report provided by the proctor for you to quickly know what happened in the session without requiring to review entire video. Q5. Who can access the Summary Report? Coordinators can view the Summary Report for candidates within their assigned exams. Q6. Why are start and end times missing for some candidates? Start and end times may be unavailable if:
  • The candidate did not start the exam
  • The session is still in progress
  • The candidate was a no-show

6. Incidents & Accommodations

Q1. What are incidents? Incidents are system- or proctor-detected events such as:
  • Multiple faces detected
  • Tab switching
  • Device changes
  • Suspicious behavior
Q2. Where can I see the number of incidents? The Incidents column shows the count of incidents recorded for that session. Q3. What are accommodations? Accommodations indicate special provisions provided to candidates, such as:
  • Extra time
  • Assistive devices
  • Accessibility support

7. Access & Permissions

Q1. Can coordinators edit candidate details? Not as of now. The Coordinator Console is a read-only view for candidate and session data as of now. Further changes will be made. Q2. Can coordinators enroll or remove candidates? Unfortunately no, they cannot.

8. Technical & Data Questions

Q1. What is the UUID shown for each candidate? The UUID is a unique identifier for the candidate’s exam session, used for tracking and support purposes. Q2. Who should I contact if playback fails to load? If playback does not load:
  • Refresh the page and retry
  • Check your internet connection
Q3. Is the data shown in real time? Not as of now. It will get update a few minutes after the exam is finished.
