Introduction

This document provides a comprehensive FAQ guide for the Talview In-Center Admin Dashboard, designed to support Center Managers, Center Admins, and Proctors in managing in-person and virtual exam operations efficiently. The In-Center workflow enables end-to-end administration of exam centers - from configuring center details and planning capacity slots to managing rooms, assigning proctors, and handling candidate check-ins and real-time exam-day activities. This FAQ addresses the most common operational, configuration, and troubleshooting questions that users may encounter while navigating the platform. Whether you are setting up a new center, planning recurring slots, monitoring seat utilization, or managing candidate lifecycle actions, this guide serves as a quick reference to ensure smooth and compliant exam delivery.

1. Getting Started

Q1. What is the In-Center Dashboard? The In-Center Dashboard is the central hub for managing exam centers, rooms, capacity slots, and candidate activity for in-person and virtual exam delivery. It gives admins a real-time view of all centers associated with an exam - including their status, location, exam types, room count, and upcoming booking load. Q2. Who can access the In-Center Dashboard? Access is role-based:
  • Center Admin — Operational access to check in candidates, verify identity, and manage exam-day activities at specific assigned centers.
Q3. How do I navigate to the In-Center Dashboard? Click the Centers icon in the left-hand navigation bar. This opens the Centers list view showing all exam centers associated with your account. Q4. What information is visible on the Centers list? The Centers table shows:
  • Center name
  • Status (Active or Inactive)
  • Location
  • Exam type (CBT, PBT, or both)
  • Number of rooms
  • Booking load for the next 14 days

2. Searching & Filtering Centers

Q5. How do I find a specific center? Use the Search bar at the top of the Centers list. You can search by center name or location. Search is case-insensitive and supports partial text matching. Q6. Can I search by Center Code or Center ID? Yes. The search bar supports searching by Center Code and Center ID in addition to center name and location. Q7. What filters are available on the Centers list? You can filter centers by:
  • Center Status — Active or Inactive
  • Exam Type — CBT or PBT
  • Location — Filter by city, state, or region
Click the Filter icon to open the filter panel, apply your selections, and the table will update accordingly. A filter strip will appear to show active filters. Click Clear All to remove all filters.

3. Adding a New Center

Q8. How do I add a new center? Click the + Add Center button on the Centers list page. A side panel will open where you can fill in the center details. Q9. What are the required fields when creating a center? The following fields are mandatory:
  • Center Name
  • Center Type — Physical or Virtual
  • Exam Type — CBT, PBT, or both
  • Time Zone
Optional fields include: Center Code, Contact Name, Contact Email, Contact Phone, Google Maps Link, and Test Accommodations.
  • Physical — A real-world location where candidates physically attend. Requires a location address and shows on Google Maps.
  • Virtual — A remote/online center. Location fields are hidden since there is no physical address.
Q10. What exam types can a center support? A center can be configured for:
  • CBT (Computer-Based Testing) — exams taken on computers
  • PBT (Paper-Based Testing) — exams taken with paper answer sheets
  • Both — a center can support both formats simultaneously
Q11. What accommodations can I configure for a center? When adding a center, you can select from the following test accommodations:
  • Wheelchair Accessible Seating
  • Service Animal Allowed
  • Private / Separate Testing Room
  • Extra Time Allowed
  • Scheduled / Medical Breaks Allowed
  • Scribe Allowed
  • Screen Reader Allowed
  • Assistive Technology Required
  • Ergonomic / Adjustable Seating
  • Low-Distraction Testing Environment
  • Food / Water Allowed
Q12. Can I create duplicate centers? No. The system validates for duplicate Center Codes. If you try to create a center with a code already in use, you will see an error prompting you to choose a different code.

4. Center Overview Tab

Q13. What does the Center Overview tab show? The Overview tab displays all key information’s like center name, status, type, location, operating hours, time zone, room list, quick statistics etc. about a specific center. Q14. How do I open a center’s Overview? Click the Center Name in the Centers list. This navigates directly to the center’s Overview tab. Q15. What does Active/Inactive status mean?
  • Active — The center is available for scheduling and can accept bookings.
  • Inactive — The center is not currently available. Candidates cannot be scheduled here until it is reactivated.
Q16. How do I change a center’s status? From the Center Overview, click Edit Details. You can toggle the status between Active and Inactive. Changes are saved immediately. Q17. How do I edit center information? On the Center Overview tab, click Edit Details. This opens the edit flow where you can update center name, location, time zone, contact details, exam type, accommodations, and status. Click Save to confirm. If required fields are left blank or contain invalid values, inline validation errors will appear and changes will not be saved. Q18. How do I edit a center’s operating hours? In the Overview tab, click the pencil/edit icon next to the Operating Hours section. A modal will open showing all days of the week (Monday–Sunday). You can:
  • Set open and close times for individual days
  • Mark a day as Closed
  • Apply changes in bulk across multiple selected days
Q19. What does the embedded map show? For physical centers, the embedded map shows the exact geographic location of the center. For virtual centers, a placeholder illustration is shown instead since there is no physical location. Q20. What are Quick Statistics? Quick Statistics provide an at-a-glance summary of the center’s current state, including total rooms, total seats, number of active rooms today, room utilization percentage, and recent candidate registrations.

5. Managing Rooms

Q21. How do I add a room to a center? From the Center Overview tab, click + Add Room. In the form, provide:
  • Room Name (required)
  • Room Capacity (number of seats, required)
  • Exam Type supported by the room
  • Room Status (Active or Inactive)
Q22. How do I edit a room’s details? Click on the room row in the Overview tab. The Edit Room side panel opens where you can modify room name, capacity, exam type, and status. Q23. How do I delete a room? Use the menu next to the room and select Delete. Note: rooms with existing bookings cannot be deleted. Q24. How do I manage seat layout within a room? Click the capacity number for a room in the Overview tab. The Edit Room side panel opens and shows the Seat Allocation section. You can:
  • Add individual seats with custom seat labels
  • Edit existing seat labels
  • Remove seats (seats with active bookings cannot be removed)

6. Capacity Planning

Q25. What is the Capacity tab? The Capacity tab provides a slot-wise view of exam availability, room allocation, booked seats, and utilization. It helps admins plan and monitor exam delivery capacity over time. Q26. What information does each row in the Capacity table show? Each row represents one time slot and displays:
  • Date and time of the slot
  • Number of rooms allocated
  • Total seats available
  • Bookings count (Lobby + Checked-in)
  • Room utilization indicator
  • Assigned proctor (if any)
Q27. How do I plan slots for a center? Click + Planning on the Capacity tab. The Recurring Availability panel opens. Fill in:
  • Start date and end date
  • Days of the week
  • Time range (start time and end time)
  • Exam type
  • Room allocation
The system will generate recurring slots across the selected date range. Q28. How do I filter or search within the Capacity tab? Use the Search icon to look up specific slot groups by name or date. Use the Filter icon to filter by:
  • Date range (From – To)
  • Exam Type
  • Time slot
Click Clear All to reset all filters. Q29. How do I edit capacity for an existing slot? Click the menu for a slot row and select Edit Capacity. You can change the room allocation and seat count for that slot. You can also apply this change to multiple selected slots in bulk. Q30. How do I enable or disable a slot? Click the menu next to the slot and select Disable to temporarily stop bookings for that slot, or Enable to resume. Disabled slots with existing bookings will retain those bookings but won’t accept new ones. Q31. How do I delete a slot? Click the delete icon for the slot row. A confirmation modal will appear showing the slot date and time. If the slot has confirmed bookings, deletion will be blocked. If there are no bookings, confirm to proceed. You can also delete multiple slots in bulk by selecting them and using the bulk delete action. Q32. How do I assign a proctor/invigilator to a slot? Click on a slot row to open the Allocation view. You will see the list of rooms for that slot. Click Assign Proctor next to a room and select from available proctors. Use the breadcrumb navigation (Center → Capacity → Allocation) to go back. Q33. Which time zone should you use when creating a slot? Create the slot using the local time of the exam location. Enter the exact time at which the exam is intended to begin in that region, without converting it to another time zone. Q34. In which time zone is the slot created? The slot is created using the exact time entered during slot creation. The system does not automatically convert the time to another time zone. Q35. In which time zone will the slot be displayed? The slot will be displayed using the same time that was entered during slot creation. The system shows the slot exactly as scheduled, based on the time zone configured for the center.

7. Candidates Tab

Q36. What does the Candidates tab show? The Candidates tab lists all candidates booked at the center. By default, it shows todays and upcoming candidates. Each row displays the candidate’s name, external ID, exam name, slot, duration, rooms and assigned seats, accommodation’s, status and registration date. Q37. What do the different candidate statuses mean?
  • Invited — Candidate has been scheduled at this center
  • Active — Candidate is confirmed and approaching exam time
  • Lobby — Candidate has arrived and is in the waiting area
  • Checked-in — Candidate has completed the check-in process
  • Seated — Candidate has been assigned a seat
  • In Progress — Exam is actively ongoing
  • Paused — Exam is temporarily halted
  • Completed — Exam has been finished
  • Checked Out — Candidate has exited the exam session
Q38. How do I search for a candidate? Use the Search bar in the Candidates tab. You can search by:
  • Candidate Name
  • Candidate Email
  • Registered Exam Name
  • External ID
Search is case-insensitive and supports partial matching. Q39. How do I filter the candidates list? Click the Filter icon to filter by:
  • Candidate Status
  • Room (multi-select)
  • Seat
  • Accommodation Type
  • Date/Slot
Q40. How do I view detailed information about a candidate? Click on the candidate row to open the candidate detail panel. This shows the candidate’s full exam details, slot, seat, accommodation requirements, and status history.

8. Candidate Check-In

Q41. How do I check in a candidate? Click the Check-in icon in the workflow to open the Check-in side panel. Then:
  1. Search for the candidate by Email ID or Candidate ID
  2. Select the candidate from the search results
  3. Capture a photo of the candidate
  4. Capture front and back of the candidate’s ID document
  5. Select an available room and seat
  6. Confirm check-in
The candidate’s status will update to Checked-in and the seat will be marked as occupied. Q42. What ID types can be captured during check-in? Only ID types configured for that specific workflow are available for selection during ID capture. The admin captures both the front and back of the selected ID. Q43. What happens if a seat is already occupied? Occupied seats are not selectable during check-in. Only available (unoccupied) seats are shown for allocation. Q44. Can I reassign a candidate’s room or seat after check-in? Yes. From the three-dot menu next to the candidate, select Reassign. A modal will open showing available rooms and seats. Select the new room and seat and confirm. The previous seat will be freed and the new allocation saved. Q45. Can I update a candidate’s status manually? Yes. From the three-dot menu, select Update Status. Choose the new status from the dropdown. A reason field may be required for certain status changes.

9. Other Candidate Actions

Q46. How do I reschedule a candidate’s exam? From the candidate’s three-dot menu, select Reschedule. The Reschedule modal opens, showing available slots. Select the new slot and confirm. The candidate’s booking is updated and their original seat is released. Q47. How do I cancel a candidate’s booking? From the three-dot menu, select Cancel Booking. A confirmation modal appears explaining the impact. Confirm to proceed. The seat is freed and the candidate’s status is updated accordingly. Q48. How do I report an incident for a candidate? From the three-dot menu, select Report Incident. The Report an Exam Incident modal opens. Fill in:
  • Description
  • Any supporting evidences
The incident is logged against the candidate’s record. Q49. How do I upload exam results for a candidate? From the three-dot menu, select Upload Results. The Upload Exam Results modal opens. Select the results file and confirm. Results are attached to the candidate’s exam record.
