# Managing Interview RSVPs: Accept, Decline, or Reschedule Interviews

This article explains how candidates and interviewers can respond to interview invitations using the meeting status link available in the email body and calendar (.ics) file.

It outlines supported RSVP actions, time-based restrictions, meeting status behavior, and how declines and rescheduling are handled.

## Overview of RSVP Capabilities

Both candidates and interviewers can manage interview invitations by:

* Accepting the interview
* Declining the interview
* Marking the interview as Tentative
* Proposing a new interview time (with restrictions)

All RSVP actions can be performed directly from:

* The email body
* The attached calendar (.ics) file

## Who Can Perform RSVP Actions and Until When

### Candidate RSVP Rules

* Candidates can accept or decline the interview anytime until the meeting status changes to **No Show** or **Completed**.
* Candidates can propose a new time while the meeting status is **Scheduled** or **In Progress**, provided the newly proposed time is at least **4 hours ahead of the current time**.

> **Example:**\
> If the current time is 1:00 PM, the candidate cannot propose a new time between 1:00 PM and 5:00 PM.\
> The earliest selectable proposed time must be 5:00 PM or later.

### If a candidate declines the interview:

* The interview is automatically canceled.
* No further action is required from the recruiter.

### Interviewer RSVP Rules

* Interviewers can accept or decline the interview anytime until the meeting status changes to **No Show** or **Completed**.
* Interviewers can propose a new time while the meeting status is **Scheduled** or **In Progress**, provided the newly proposed time is at least **4 hours ahead of the current time**.

> **Example:**\
> If the current time is 1:00 PM, the interviewer cannot propose a new time between 1:00 PM and 5:00 PM.\
> The earliest selectable proposed time must be 5:00 PM or later.

### If an interviewer declines the interview:

* The interview is **not** canceled.
* The recruiter can:
  * Change the interviewer
  * Reschedule the interview
  * Cancel the interview manually

When declining an interview through the email body:

### Candidates:

* Can select or provide a reason for declining.

### Interviewers:

* Can provide a reason for declining.
* Can propose an alternate interviewer as part of the decline flow.

This information helps recruiters take faster and more informed follow-up actions.

## Meeting Status and Its Impact on RSVP

### Meeting Status Lifecycle

**Scheduled**\
Initial state after interview creation.

**In Progress**\
The meeting moves to this status as soon as any participant (candidate, interviewer, or organizer) joins the interview.

**Completed**\
The meeting moves to this status if any participant joins the interview and the session concludes.

**No Show**\
If no one joins, the meeting moves to **No Show**.

The meeting status automatically moves to **No Show** or **Completed** 35 minutes after the interview end time.

## RSVP Restrictions Based on Meeting Status

RSVP actions are allowed only when the meeting status is:

* Scheduled
* In Progress

No RSVP actions can be performed once the meeting status becomes:

* No Show
* Completed

## Canceling an Interview

A meeting can be canceled when the status is:

* Scheduled
* In Progress

Once the meeting moves to **No Show** or **Completed**, it can no longer be canceled or modified.
